Administrative Assistant

Job Description

Provide administrative support to Division 45 Manager, Estimators, and Project Managers. This role involves assisting in various areas including sales/business development, operations, trucking, safety, and general office tasks.

Responsibilities

  • Provide sales/business development support to Division 45 Manager.

  • Order and maintain marketing materials for potential customers.

  • Prepare job write-ups, bid documents, and quote letters.

  • Coordinate the annual customer golf outing.

  • Communicate with customers regarding delinquent accounts receivable for Division 45 jobs.

  • Maintain Extra Work Order logs.

  • Process rental agreements.

  • Distribute contracts for review and execution.

  • Coordinate Foremen the person.

  • Coordinate off-site the person.

  • Scan and print the person.

  • Process trucking permits for Division 45 and Division 35.

  • Coordinate trucking requests.

  • Prepare per diem and check requests for field staff.

  • Assist with obtaining materials quotes and ordering materials.

  • Maintain packing slips from the yard.

  • Coordinate annual drug testing for field staff.

  • Send drug test cards to customers.

  • Set up OSHA 30 training for field foremen.

  • Maintain safety certificates and update safety training logs for Division 45.

  • Prepare weekly division meeting the person.

  • Review Division 45 timesheets and turn them into the payroll department.

  • Process Division 45 Visa spreadsheets and receipts monthly.

  • Function as the primary back-up for the person.

  • Coordinate after holiday party.

Essential Skills

  • Minimum of a high school diploma.

  • Strong computer skills including knowledge of Microsoft Office.

  • Ability to learn and effectively use office technologies.

  • Effective time management skills.

  • Good interpersonal skills.

  • Multi-tasking skills.

Additional Skills & Qualifications

  • Experience with industrial construction and/or rigging is preferred but not required.

Work Environment

The role involves working in an office environment with standard office technologies and equipment. The position may require coordination with field staff and occasional off-site duties. Professional attire is expected.

Pay and Benefits

The pay range for this position is $55000.00 - $60000.00/yr.

You are eligible to enroll in the companys benefit plans if you are a regular, full-time employee scheduled to work at least 30 hours per week. As aregular, full-time employee, you are eligible for benefits on your date of hire.
